Easy Ways to Organize All of Your Office Files

Having files everywhere is not going to help you with your productivity and it is certainly not going to help you to try and stay organised either. If you want to try and avoid all of this then it is so important that you are able to create a system because if you don’t then this could make it even harder for you to stay on top of things in the future.

Create Categories

The first thing that you need to do is try and decide which categories you want to have for sorting. Different kinds of offices will have different categories so you need to find ones that work for you. You also need to try and find out which files you have the most of as well, as this can really help you to stay on top of things for the future. For example, if you work in a law office then you may want to organise your client files by their type, such as administrative, probate, litigation and more. If you don’t do this, then you may end up making a mistake with one of your files and this is the last thing you need when you are trying to maintain a professional image.

Subcategories

When you have managed to organise everything into categories, you then need to sort them out even further. To do this, you need to set up subcategories. Each piece of paper that you have needs to be organised in two different terms, the general category and then the subcategory. If you happen to be organising your files for payments for example, consider having one for outgoing payments and then have subcategories for services, suppliers, administrative expenses and then wages. A W2 generator can be very useful here.

Coding System

This may sound super simple but this can be a fantastic way for you to manage and even organise your office files. Coloured folders can really help you to identify any categories that you have. If you feel as though having coloured folders makes you look unprofessional then you can easily label your folders according to whatever you want to sort them into. You can also use stickers as well to try and get this done. Either way, having some kind of visual cue can help you out a lot and it can even help you to tell other people about the system that you have.

Storage

When you have organised all of your files, it is so important that you have somewhere to store them. If you don’t then this can cause you major issues in the future. A filing cabinet can be invaluable here and it is well worth the money as well. Of course, if you know that you just have boxes then this isn’t as efficient as it could be but you can make it work. Consider labelling the boxes, make them stackable and even try and get some dividers as well. Little things like this can really help you with your organisation and they can also help you to work much more efficiently as well.

Of course, if you want to stay organised then the above tips will certainly help you out so make sure that you give them a go if you want to find out more.
